Terms of Service
Last updated: July 2026.
1. Agreement
By creating an account or using VolTrack, you agree to these Terms. If you use VolTrack on behalf of a school or organization, you represent that you're authorized to bind it. Schools may also have a separate signed agreement (and DPA), which governs in case of conflict.
2. The service
VolTrack provides software for tracking student service hours and related school activities — including service-opportunity posting, reporting, optional data import/migration, and (where enabled) communications such as announcements, reminders, and messaging. We may update, add, or remove features over time.
3. Accounts & acceptable use
- Keep your credentials secure; you're responsible for activity under your account.
- Don't misuse the service: no unauthorized access, scraping, interference, or unlawful content.
- Only submit content and data you have the right to submit.
- If you use Communications, you're responsible for obtaining any consents required to email or text the recipients you contact and for complying with applicable anti-spam and telemarketing laws (e.g., CAN-SPAM, TCPA).
4. Customer data & privacy
Schools own their data. We process it under our Privacy Policy and, for student education records, our Student Data & FERPA terms, acting as a service provider/school official on the school's behalf.
5. Fees
Paid plans are billed annually in advance through our payment processor at the price shown at purchase. Founding pricing is locked for three years as described at checkout. Subscriptions renew annually unless cancelled before the renewal date. Fees are non-refundable except where required by law; if you cancel, access continues through the end of the paid term. Schools may also be invoiced annually with purchase-order support by arrangement.
6. Disclaimers & liability
The service is provided “as is” without warranties to the extent permitted by law. To the maximum extent permitted by law, VolTrack's total liability arising out of or relating to the service will not exceed the fees you paid in the twelve months preceding the claim, and neither party will be liable for indirect, incidental, or consequential damages. Each party will defend and indemnify the other against third-party claims arising from its own breach of these Terms or violation of law. Nothing limits liability that cannot be limited under applicable law.
7. Termination
You may stop using VolTrack at any time. We may suspend or terminate accounts that violate these Terms. On termination, we delete or return data per our Privacy/Data terms.
8. Changes & contact
We'll post updates here with a new “last updated” date. Questions: privacy@voltrack.app.
Governing law: these Terms are governed by the laws of the United States and the state in which VolTrack is organized, without regard to conflict-of-laws rules. A signed agreement with a school controls where it conflicts with these Terms.
